Where consent is required for non-essential technologies, We request that consent before using them. Users can also control cookies through their browser settings.

School and Education Data Responsibilities

Participating schools use Classic Academy to manage their own institutional records. For school-controlled records, the participating school determines the educational and administrative purposes for which those records are processed and decides which authorized staff, parents, guardians, students, or other users may access them. Classic Academy processes those records to provide the platform features requested by the school, protect the Service, provide support, create backups where configured, and meet applicable legal obligations.

Because Classic Academy can be used by nursery, primary, secondary, tertiary or other education providers, school-controlled records may include information about children and other minors. Access to those records is restricted through school-controlled accounts, roles and permissions, subject to the school's own legal and consent responsibilities.

Use of Your Personal Data

The Company may use Personal Data for the following purposes:

  • To provide and maintain Our Service, including to monitor the usage of Our Service.

  • To manage Your Account: to manage Your registration as a user of the Service. The Personal Data You provide can give You access to different functionalities of the Service that are available to You as a registered user.

  • For the performance of a contract: the development, compliance and undertaking of the purchase contract for the products, items or services You have purchased or of any other contract with Us through the Service.

  • To contact You: To contact You by email, telephone calls, SMS, or other equivalent forms of electronic communication, such as a mobile application's push notifications regarding updates or informative communications related to the functionalities, products or contracted services, including the security updates, when necessary or reasonable for their implementation.

  • To provide You with news, special offers, and general information about other goods, services and events which We offer that are similar to those that You have already purchased or inquired about. We send such marketing communications only where permitted by applicable law: where prior consent is required (for example, under the laws applicable in the EEA and the UK), We will send them only with Your consent; otherwise, We may send them until You opt out. You may opt out or withdraw Your consent at any time by using the unsubscribe link in any marketing email We send or by contacting Us.

  • To manage Your requests: To attend and manage Your requests to Us.

  • For business transfers: We may use Your Personal Data to evaluate or conduct a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of Our assets, whether as a going concern or as part of bankruptcy, liquidation, or similar proceeding, in which Personal Data held by Us about Our Service users is among the assets transferred.

  • For other purposes: We may use non-Google Personal Data for purposes such as data analysis, identifying usage trends, determining the effectiveness of Our promotional campaigns, and evaluating and improving Our Service, products, services, marketing and Your experience.

Important Google User Data limitation: The general marketing, analytics, affiliate, business-transfer, and "other purposes" language in this section does not expand how Classic Academy may use Google user data. Google user data is governed by the dedicated "Google User Data — Access, Use, Storage, Sharing and Deletion" section below and is used only to provide or improve the user-facing Google Calendar booking functionality described there.

How We share Personal Data. We disclose Personal Data only as necessary for the purposes described in this Privacy Policy:

  • Participating schools and authorized users: school-controlled records are available to the school and to users whom the school authorizes according to their roles and permissions.
  • Infrastructure and service providers: We may use providers that supply hosting, database/cache infrastructure, secure file storage, email or messaging delivery, video-meeting functionality, monitoring/security, backup, or other technical services needed to operate Classic Academy. They may process only the information necessary to perform services for Us and are not permitted to use it for their own unrelated purposes.
  • Payment services: where electronic payments are enabled, payment or financial-service providers may receive transaction information required to process the payment. Classic Academy may retain transaction references, amounts and statuses needed for accounting and support, but does not intentionally store complete card numbers, security codes or mobile-money PINs.
  • Google Calendar: Google user data is handled only as described in the dedicated Google User Data section below; the broader sharing provisions in this Privacy Policy do not expand permitted uses or transfers of Google user data.
  • Legal and safety disclosures: We may disclose information where required by law or where reasonably necessary to protect users, schools, Classic Academy, or the public from fraud, abuse, security threats, or legal claims.
  • Business transfers: non-Google Personal Data may be transferred as part of a merger, restructuring, financing, acquisition or sale, subject to applicable law and appropriate confidentiality protections. Google user data remains subject to Google's Limited Use requirements.
  • Public content and consent: information that a user or school intentionally publishes in a public area may be visible publicly. We may also disclose information where the relevant person has expressly authorized that disclosure.

Google User Data — Access, Use, Storage, Sharing and Deletion

Feature and authorization. Classic Academy offers an optional Google Calendar integration for scheduling Classic Academy demos, onboarding sessions, and support bookings. The integration is connected only after an authorized Classic Academy administrator chooses to connect a Google account and grants Google OAuth permission.

Google data and permissions accessed. For OAuth-based Calendar booking, Classic Academy requests https://www.googleapis.com/auth/calendar.events.owned and https://www.googleapis.com/auth/calendar.events.freebusy. These permissions allow Classic Academy to read free/busy availability for the configured booking calendar and to create, update, or delete Calendar events owned by the connected account. In performing those actions, Classic Academy may process calendar identifiers, free/busy time ranges, event identifiers, event titles/descriptions, start and end times, meeting links, and booking attendee information that is necessary to create or manage a requested booking.

How Google user data is used. Google user data is used only to provide and improve the user-facing Classic Academy booking functionality: checking whether a requested time is available, preventing booking conflicts, creating the requested Calendar event, updating or cancelling that event where necessary, maintaining booking integrity, and troubleshooting failures. Classic Academy does not use Google user data for advertising, personalized advertising, retargeting, credit decisions, lending, data-broker or information-reseller services, unrelated marketing, or creation of unrelated databases.

AI and machine learning. Google Workspace API data obtained through this integration is not used to develop, improve, or train generalized or non-personalized artificial-intelligence or machine-learning models.

Storage and protection. When OAuth is used, Classic Academy stores the Google refresh credential in encrypted form so the booking service can continue operating without requiring the administrator to sign in for every booking. Access to integration credentials is restricted to authorized server-side application processes. Google Calendar availability and event information is processed only as needed for the booking operation and related service integrity. Production connections use HTTPS/TLS in transit.

Sharing and transfer. Classic Academy does not sell Google user data and does not share or transfer Google user data for advertising, marketing, profiling, data brokerage, credit, lending, or generalized AI/ML training. Google user data may be disclosed only to service providers acting on Our behalf where necessary to provide or secure the user-facing booking functionality, when required by applicable law, or when the connected user has expressly authorized the disclosure. Those providers may use the data only to perform the contracted service for Classic Academy.

Retention and deletion. Google authorization credentials are retained only while the Calendar integration remains connected and as necessary to operate the booking feature. An authorized administrator can disconnect Google Calendar in Classic Academy, revoke Classic Academy's access from the Google Account's third-party access settings, or contact Us to request deletion of stored Google authorization credentials and related integration records. We delete or render unusable the stored integration credential after disconnection or a valid deletion request, except where a limited record must be retained to meet a legal or security obligation. Calendar events already written to the user's Google Calendar remain subject to the user's own Google Calendar controls and can be deleted there.

Limited Use. Classic Academy's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. If any general provision elsewhere in this Privacy Policy could be interpreted more broadly, this Google User Data section controls for data obtained through Google APIs.

Retention of Your Personal Data

The Company will retain Your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use Your Personal Data to the extent necessary to comply with Our legal obligations (for example, if We are required to retain Your data to comply with applicable laws), resolve disputes, and enforce Our legal agreements and policies.

Where possible, We apply shorter retention periods and/or reduce identifiability by deleting, aggregating, or anonymizing data. Unless otherwise stated, the retention periods below are maximum periods ("up to") and We may delete or anonymize data sooner when it is no longer needed for the relevant purpose. We apply different retention periods to different categories of Personal Data based on the purpose of processing and legal obligations:

  • Account Information

    • User Accounts: retained for the duration of Your Account relationship plus up to 24 months after account closure to handle any post-termination issues or resolve disputes.
  • Customer Support Data

    • Support tickets and correspondence: up to 24 months from the date of ticket closure to resolve follow-up inquiries, track service quality, and defend against potential legal claims.
    • Chat transcripts: up to 24 months for quality assurance and staff training purposes.
  • Usage Data

    • Website analytics data (cookies, IP addresses, device identifiers): up to 24 months from the date of collection, which allows us to analyze trends while respecting privacy principles.

    • Server logs (IP addresses, access times): up to 24 months for security monitoring and troubleshooting purposes.

Usage Data is retained in accordance with the retention periods described above, and may be retained longer only where necessary for security, fraud prevention, or legal compliance.

We may retain Personal Data beyond the periods stated above for different reasons:

  • Legal obligation: We are required by law to retain specific data (e.g., financial records for tax authorities).
  • Legal claims: Data is necessary to establish, exercise, or defend legal claims.
  • Your explicit request: You ask Us to retain specific information.
  • Technical limitations: Data exists in backup systems that are scheduled for routine deletion.

You may request information about how long We will retain Your Personal Data by contacting Us.

When retention periods expire, We securely delete or anonymize Personal Data according to the following procedures:

  • Deletion: Personal Data is removed from Our systems and no longer actively processed.
  • Backup retention: Residual copies may remain in encrypted backups for a limited period consistent with Our backup retention schedule and are not restored except where necessary for security, disaster recovery, or legal compliance.
  • Anonymization: In some cases, We convert Personal Data into anonymous statistical data that cannot be linked back to You. This anonymized data may be retained indefinitely for research and analytics.

Transfer of Your Personal Data

Your information, including Personal Data, is processed at the Company's operating offices and in any other places where the parties involved in the processing are located. This means that this information may be transferred to — and maintained on — computers located outside of Your state, province, country or other governmental jurisdiction where the data protection laws may differ from those of Your jurisdiction.

Where required by applicable law, We will ensure that international transfers of Your Personal Data are subject to appropriate safeguards and, where relevant, supplementary measures. The Company will take all steps reasonably necessary to ensure that Your data is treated securely and in accordance with this Privacy Policy and no transfer of Your Personal Data will take place to an organization or a country unless there are adequate controls in place, including the security of Your data and other personal information.

Delete Your Personal Data

You have the right to delete or request that We assist in deleting the Personal Data that We have collected about You.

Our Service may give You the ability to delete certain information about You from within the Service.

You may update, amend, or delete Your information at any time by signing in to Your Account, if You have one, and visiting the account settings section that allows You to manage Your personal information. You may also contact Us to request access to, correct, or delete any Personal Data that You have provided to Us.

Please note, however, that We may need to retain certain information when We have a legal obligation or lawful basis to do so.

Disclosure of Your Personal Data

Business Transactions

If the Company is involved in a merger, acquisition or asset sale, Your Personal Data may be transferred. We will provide notice before Your Personal Data is transferred and becomes subject to a different Privacy Policy.

Law Enforcement

Under certain circumstances, the Company may disclose Your Personal Data if required to do so by law or in response to valid requests by public authorities (e.g. a court or a government agency).

Other Legal Requirements

The Company may disclose Your Personal Data in the good-faith belief that such action is necessary to:

  • Comply with a legal obligation
  • Protect and defend the rights or property of the Company
  • Prevent or investigate possible wrongdoing in connection with the Service
  • Protect the personal safety of Users of the Service or the public
  • Protect against legal liability

Security of Your Personal Data

The security of Your Personal Data is important to Us. We use administrative and technical safeguards appropriate to the Service, including access controls, secure server-side handling of integration credentials, HTTPS/TLS for production traffic, and encryption of stored Google OAuth refresh credentials. No method of transmission over the Internet or electronic storage is 100% secure, so We cannot guarantee absolute security.

Children's and Minors' Privacy

The public Classic Academy marketing and booking website is not intended for children to create independent accounts or submit Personal Information without appropriate authorization.

Classic Academy also provides school-management services that may process information about students and other minors on behalf of participating schools. In those cases, the school or other authorized institution controls the relevant education records and is responsible for obtaining any consent or other lawful authority required for the collection and use of that information.

If You are a parent or guardian and You believe a child has provided Personal Information to Classic Academy outside an authorized school relationship, please contact Us. If We learn that Personal Information was collected without an appropriate legal basis, We will take reasonable steps to delete or restrict that information as required by applicable law.

Where applicable law requires parental or guardian consent for processing a minor's Personal Information, We and/or the relevant school will require that authorization before relying on consent.
